We are currently looking to fill the following positions:

Marketing Assistant and Receptionist

Summary of Duties:

As a part of our Administrative Team, the Marketing Assistant and Receptionist will provide support to our firm’s Administrative Departments, predominantly in the areas of Marketing and Reception. You will be the first point of contact for clients to the firm and assist in growing firm’s reputation. Responsibilities for this client-facing role will include, but will not be limited to:

Job Responsibilities and Accountabilities:

Assist the Marketing team in the following areas:

  • Updating and maintaining the client relationship management system (CRM)
  • Performing list management and follow-up for events and supporting internal and external events in person
  • Formatting marketing materials for promotional use (Word and PowerPoint)
  • Updating the website, posting materials online, and ensuring databases are up-to-date
  • Editing marketing materials for content, grammar, spelling, and syntax
  • Assisting with ad-hoc projects and events as they arise
  • Some overtime flexibility required during peak times and for events, as needed

Provide client-facing reception coverage on a daily basis to relieve Receptionist for breaks and lunch, as well as vacation and sick days. Flexibility with hours (8:30 am start time at the office would be required during reception vacation and sick day coverage). Duties at Reception will include the following:

  • Receive visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately and in a professional manner
  • Answering, screening, and forwarding incoming calls
  • Assisting with the booking and preparation of meeting rooms
  • Answering questions and responding to inquiries
  • Performing ad-hoc administrative duties and other related duties as assigned

Qualifications:

  • Detail-oriented – with the ability to ensure numbers, data, grammar, and spelling are accurate
  • Proficient and precise typing and data entry
  • Resourceful and proactive
  • Strong research skills
  • Professional attitude with solid customer service skills
  • Excellent written and verbal communication skills
  • Ability to multi-task and prioritize
  • Must have a strong commitment to customer service and a positive attitude
  • Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint
  • Excited to learn new technology
  • Knowledge of/use of APA Style and Canadian Press Style an asset
  • Previous marketing and/or reception experience is an asset, but not required

Commercial Real Estate Legal Assistant

We have an immediate opening for a Commercial Real Estate Legal Assistant with at least 5 years’ experience. Knowledge of acquisitions, dispositions, financings, project development, and condo and development work is an asset. Real estate statutes and practices, legal concepts and procedures, transactional experience and broad, but thorough knowledge of basic legal principles is essential for this role.

Summary of Duties:

As a Real Estate Assistant, you will be responsible for a wide variety of legal and administrative duties within the real estate sphere, supporting a Lawyer.

Job Responsibilities and Accountabilities:

  • Maintain an efficient filing system for both electronic and hard copy files
  • Prepare routine documents and letters regarding real estate matters/transactions
  • Organize/collect material for commercial real estate deals and summarize this information, as needed
  • Performance of full clerical, administrative and general office duties, including opening and closing files, entering dockets, preparing proformas, account letters and invoices
  • Assist with general practice management, including coordination of meetings, managing calendars and making travel arrangements
  • Handle all related accounting procedures and any other administrative tasks as required
  • Other related duties as assigned

Qualifications:

  • Completion of a recognized college Law Clerk/Legal Administrative Diploma
  • Minimum of 5 years’ experience working within Commercial Real Estate within a law firm environment
  • Strong technical skills and proficient in Microsoft Office 2013 and Document Management systems
  • Experience in Teraview would be an asset
  • Have exceptional written and communication skills, are organized and meticulous with follow-up and details and is able to take initiative, prioritize, and multi-task
